1. Overview

This Playbook is designed to provide Best Practice Guidance for using Extracker with your Subcontractors. Learn how to set up your project, make Extracker part of your project requirements and introduce the software to your Subcontractors.

2. How to define your project requirements

To easily get up and running, we have divided the project requirements for your Subcontractors into three different Tiers. Click the link below each tier to copy and paste instructions to bidders language, subcontract language and an Extracker email intro to your Subcontractors.

  •  Tier II Project Requirements: Require your Subcontractors to:
    • Upload their CORs through Extracker’s digital shared COR log. This will ensure you have all CORs and related documentation, in a single place, saving you hours of manual work.
    • Use Extracker's mobile app to create digital Time and Material Tags throughout the project to verify labor, material and equipment spent on extra work.
      • Automatically updates an up-to-date log of all T&M Tags filtered by status and which ones have a corresponding COR.
      • Sign T&M Tags touch-free using our digital signature request feature.

  • Tier III Project Requirements: Require your Subcontractors to:
    • Use Extracker's Change Order Request templates, for consistent, well documented CORs, that are easy to review and ready for an audit. Extracker COR templates provide Subs & GCs with detailed cost information broken down by labor, material & equipment with pre-defined markup rates.
    • Use Extracker's mobile app to create digital Time and Material Tags through out the project to verify labor, material and equipment spent on extra work.
      • Automatically updates an up-to-date log of all T&M Tags filtered by status and which ones have a corresponding COR.
      • Sign T&M Tags touch-free using our digital signature request feature.

3. Subcontractor Quick Start Guide

We include this in the email template for the project requirements but want to share it again here. If Subcontractors have questions on getting set up this is a great starting point and resource.

4. Create the project in Extracker

5. How to invite your Subcontractors to the project

6. How to send a Change Notification

If you have a design change to issue or want to send something out for pricing you can do that through Extracker using the Change notification feature.
